1. Overview
This Privacy Policy explains how Scholars Forge, LLC collects, uses, and protects personal information through our homeschool planning platform.
2. Information We Collect
We collect account, learner, and attachment data. Students may access limited features using a parent-provided QR code without their own login credentials.
Optional student notes and reflections are stored for personal analytics. Technical usage data such as browser details, IP address, and timestamps help us maintain service reliability.
3. How We Use Information
We use the data to provide, maintain, and improve planning tools, personalize dashboards, and generate anonymized analytics. We do not sell or rent user data.
4. Data Protection
Data is encrypted in transit and at rest, scanned for viruses, and stored under per-user isolation. Tokenized calendar links are revocable.
5. AI and Automation
Certain features, including ChatGPT-based suggestions, generate pacing and planning insights. Data shared with ChatGPT via API is limited, secured, and not used for model training. Parents must review all AI-generated results before applying them.
6. Legal and Educational Disclaimer
We are not legal experts. Information or compliance prompts provided by the Service are not legal advice. Parents are responsible for verifying laws in their jurisdiction.
7. Data Retention
Inactive accounts and data are retained for up to 24 months for account recovery or reporting continuity, and then permanently deleted unless required by law.
8. Children's Privacy
Scholars Forge complies with COPPA principles. Children cannot independently create accounts or submit personal data without parental consent.
9. Third-Party Services
Hosting and storage are provided by Microsoft Azure. These providers comply with ISO 27001 and SOC 2 standards.
We also use Microsoft Clarity to understand how visitors interact with Scholar's Forge. Clarity collects behavioral metrics (such as click, scroll, and page performance data), heatmaps, and session replays so we can improve usability. Microsoft may combine this information with other advertising data to optimize experiences across devices; see the Microsoft Privacy Statement for details. 10. Data Exports and Portability
Parents can export plans, reports, and portfolios as CSV or PDF files for record keeping.
11. Cookies and Tracking
We only use essential cookies for login and session management. We do not use advertising or behavioral tracking cookies.
12. Your Rights
Users can access, correct, export, or delete their data through account settings or by contacting privacy@scholarsforge.com.
13. Policy Updates and Notifications
Policy changes will be posted on our website. Major updates will also be communicated via email to registered users.
